The demands of today's world of work that require workers to complete their work outside the office have made conference calls (three-way calls or more) more common. In this guide, we'll help you make conference calls.
Step
Method 1 of 2: Using a Smartphone
Step 1. Call one of the participants to initiate a conference call
You can enter participant numbers manually or select a number from the contact list.
Once the call is connected, tap Add Call. The first participant will be put on hold on the call
Step 2. Contact the second participant
You can enter participant numbers manually or select a number from the contact list.
Step 3. Tap Merge Call to start a conference call
- You can make conference calls with up to five people, depending on the operator you use.
- The above steps can be done with iPhone and Android (HTC Hero).
Method 2 of 2: Finding a Conference Call Service Provider
Step 1. Find a suitable conference calling service
Companies like GoToMeeting and Skype provide conference calling services with hundreds of people. You may need to pay a certain fee, depending on the type of service you need.
- You can pay a service fee per call (which will be calculated based on the number of participants, length of call, etc.), or pay a flat fee to rent a "conference table".
- Generally, the caller must pay for the service.
- Some services require you to purchase hardware and/or use a dedicated long distance calling service. However, there are also prepaid services that you can access via landlines, mobile phones, or computers.
- Consider whether you need a toll-free number, or let participants pay for their own phone credit.
- Conference calling can also be used as a complement to web conferencing. This way, call participants can view documents or presentations while on a call. Some conference service providers also provide web conferencing services, but you must start the conference separately. A web conference can be started with a special link or an email attachment.
Step 2. Prepare the necessary information to start the conference call, such as phone number and password
If you don't know what conferencing system to use, make a test call first
Step 3. Schedule a conference call, and invite other participants
Read online guides to find out how to set up a conference call.
Step 4. Make the call in the appropriate environment
Make sure you make the call in a quiet place, without much distraction.
Step 5. Initiate calls on time, or enter the calling system early if possible
Some conference systems will not allow you to sign in before the allotted time, while others will not allow interaction until the "leader" logs in with a specific password.
Step 6. Wait for all participants to enter, and start talking
Tips
- Try to reduce the movement of flipping paper or typing to minimize background noise.
- Use the Mute button when you are not talking.
- Avoid eating food while making calls.
Warning
- Make sure all participants can access the conference system, especially if there are participants who are abroad.
- Make sure you know the system access rates with toll-free numbers and paid numbers. The rates for both may be different.
- When looking for conferencing services, pay attention to hidden fees and terms of use per month.
