Microsoft Word is the most commonly used word processing program (if not the most popular word editing program in the world). To make the most of its features, you need to be able to navigate increasingly complex menus and displays. Fortunately, adding page numbers to documents is easy.

Step

Method 1 of 3: Entering Page Number

Step 1. Double-click the top (head) or bottom (foot) of the page

After that, the " Design " menu will be displayed. In this menu, you can add page numbers. Alternatively, click the “Insert” tab on the top bar of the program window. After that, the “Insert” menu ribbon will be displayed at the top of the program and you can add page numbers through the ribbon.

Step 2. Select "Page Number" to display the options

With this option, you can determine the position of the page number. Hover over each selection ("Top of Page ", " Bottom of Page ", etc.) to view more options or specify the position of the page number (eg right, left, or center).

  • In the “Design” menu, the “Page Number” option is on the far left.
  • On the “Insert” menu, the “Page Number” option is in the middle.

Step 3. Choose a page number style to set the numbering automatically

After selecting a position, Word will automatically add page numbers to the entire document.

There are many page number options to choose from. However, you can also customize the page numbers yourself if the options aren't what you want

Step 4. Keep in mind that some versions of Word employ slightly different ways of adding page numbers

Each version of Word is different so the placement of some numbers may change. However, all versions of Word still allow you to add pages by clicking the head or foot of the document. With this step, you can access the “Page Number” menu.

Method 2 of 3: Setting the Page Number Format

Step 1. Double-click the page number to change its font, color, or style

If you want to apply a specific font to a page number, double-click the number. Numbers will be marked in blue, just like any other text marked in Word documents. After that, you can adjust the font, color, and size as usual. These settings will be applied automatically to the document as a whole.

Step 2. Repeat the page numbering using a page break

If you want to redo the page numbering to “1”, you need to separate the old segment from the “new segment”. Place the cursor at the beginning of the page where you want to start a new segment first. After that:

  • Click " Page Layout " → " Breaks " from the bar shown above the program window.
  • Select "Next Page" in the "Breaks" section.
  • Double-click the current page number.
  • Click "Page Number", then select "Format Page Numbers".
  • Select the balloon labeled "Start At", then select "1" to repeat the page numbering to one.

Step 3. Remove the numbers on the first page to create a neater title page

Click the head or foot of the page again to access the menu. After that, find and check the box labeled "Different First Page". Now you can click on the page number on the first page and delete it, while the numbers on the other pages remain.

  • Often times, the first page number will be erased by simply clicking the " Different First Page " button.
  • Usually, presentations and assignments/scientific papers do not need a number on the first page. The front page of course is the first page or “1”.

Step 4. Use " Format Page Numbers " for certain changes, such as number type or chapter headings

If you want to make further changes, double-click the header or footer of the page. Click “Page Numbers”, then click “Format Page Numbers” on the menu that appears. From this menu, you can define different numbering types, such as numbers or Latin letters, as well as modify the basic appearance of numbers. While not complicated or “artsy”, these modifications can enhance the appearance of page numbers.

Step 5. Press the “Esc” key to exit the “Header and Footer” or “Design” bar

Step 4. Move documents from application to computer easily

Changes made through the app are displayed in the Word desktop program so you can safely add or change page numbers. The number will be saved when the document is sent to another program.
